Most offices are paying Microsoft for the wrong mix of licences

We look at what you are actually using

Not what was bought three years ago. People leave and their licence keeps billing. Someone who only needs email is on a plan built for the full desktop apps. Someone doing real work is on a plan that does not include the security you assume is there. All three cost you, in different directions.

For nonprofits and churches, this is real money

A large share of the organizations we look after are nonprofits, and many qualify for heavily discounted or donated Microsoft licensing. It is not a token discount. We set it up and manage it as part of the service, and it is worth asking about before anything else.

Setting it up so it is actually secure

Multi-factor authentication on every account, because a password on its own is not a control any more. Sign-in rules that fit how your people really work. Shared mailboxes and permissions done properly, so leavers do not keep access and nobody holds more than they need.

One dated thing worth knowing. Microsoft is switching off text-message sign-in codes. If your staff still get a six-digit code by text when they log in, that is changing, and there are two dates that matter.

What Microsoft does not do for you

Microsoft keeps your data available. It does not keep it recoverable. If a mailbox is emptied, or a SharePoint library is deleted, there is a recycle bin with a short window and then nothing. That is a separate job, and it is worth understanding before you need it.

The day to day

Adding and removing people. Moving mail. Setting up a new starter so they have what they need on the first morning rather than the third. Sorting out why someone cannot get into a shared mailbox. It is unglamorous, and it is most of the work.
